"Billable" flag in time tracking
Kevin Pettitt
Hi Jon Darbyshire I've just been hunting for this feature while evaluating SmartSuite and have some thoughts...
The major pain point solve we're going for is that our consultants (incl. myself) often have to "figure it out" before we can justify billing clients for work, and our crappy time entry tool is only designed for billing clients (and it's not even tied directly our also crappy task tracking tool). So the dream scenario is to replace both crappy disconnected tools with a single tool that allows:
1) EASY time logging against a task that allows both a short note/description AND a billable toggle.
2) Automatic rolls up of billable time to project/client level to allow invoicing at an agreed frequency (weekly, monthly, bimonthly, adhoc/custom).
3) Automatic rolls up of billable time to resource/consultant level for payment on an agreed schedule (weekly, monthly, bimonthly, etc..).
4) All time entries to be used for various reports allowing insights on billable vs non-billable time, both for the consultants to learn their own patterns and for managers/leads to see what's going on across the team.
5) Traceability back the orig. Task from a time entry so that if a client questions us, we can run a detailed report to show them what they paid for.
I have a client that uses ClickUp so have seen how ClickUp has done a good job on #1, but apparently not such a great job on 2-5 yet. Was on a call this wek w/ Gavin Brennen discussing our likely need to have separate task tracking Solutions on a per client basis (makes the who sees what/security easier), so getting 2-5 fully solved for us would likely involve copying time entries at the project/client Solution level over to some central "Timesheet/Billing" Solution where they can be aggregated into a cross-project Time Sheet, allowing for a status flow on the Timesheet going from "Draft" to "Submitted" (so folks have a way of saying "I'm done putting my time entries in for this week") and then "Approved" and "Paid".
That's a lot, and the Billable toggle may not by itself solve for all of it, but hopefully thinking through all of this will help craft a truly useful feature that will unlock a lot of platform capability.
Thanks!

Major plus for us too.

Thank you for posting, YES Integrations! I have a few more questions for you:
- Can you provide more details on how you currently differentiate between billable and non-billable hours?
- What impact would this feature have on your workflow?
- Are there any specific criteria you use to determine if a time entry is billable or not?

- We currently use a separate table of timesheets for billable hours
- This would simplify organisation and mean we would only require one time tracking log instead of a time tracking log and a separate table with many time tracking log entries
- Not really, it varies
