Prevent Disappearing Private Views After User Deletion
Isaac Gutierrez
Issue Description
When a user creates a private view and is subsequently deleted from the system, the private view appears to become permanently inaccessible—even to other administrators. It effectively disappears without any way to retrieve or reassign ownership.
Steps to Reproduce
A user is added to a SmartSuite solution.
That user creates a view and marks it as private.
The user is deleted from the system.
The view is no longer visible or accessible to any other user, suggesting it has been "lost."
Impact
Forms that are actively in use (e.g., shared externally) become inaccessible, potentially disrupting data collection workflows.
This can result in serious operational issues, especially when the form was embedded or shared via a public link and is now orphaned.
Any working views get deleted.
User Behavior Insight
Originally, setting form views as private was considered a best practice to prevent accidental edits by internal users—particularly those less tech-savvy (e.g., construction workers who confused the form view with a fillable form).
As a workaround, the user began placing forms in folders labeled “Do Not Touch” to prevent unintentional changes.
Suggested Improvements
Prevent form and other views from being set as private, or
Ensure that private views are reassigned or made accessible upon user deletion, or
Add system safeguards or admin controls to recover or reassign orphaned views.

I have not tested with a deleted user, but you can hover over the ellipse on private view as an admin and select to see all private views in that table. Assuming a deleted user does not break that, the admin would be able to delete the orphaned view, or duplicate it if it needed to be recovered.

Kenneth Rea the private views of deleted users do not show up with the other private views for the admin. There doesn't seem to be a way to find or access the private views of deleted users.

Thank you! This has certainly been an issue for us. Would it potentially make sense to disallow sharing on private views?
